Privacy Policy

The privacy policy provides information on which personal data is processed in the DKS portal and in the app DKS Utøver, and how this is used. This declaration is continuously updated.

Data controller

All regional and municipal units that use the DKS portal are individually data controllers for their services and case management processes in the portal. If you have questions regarding privacy related to processes in a county or a municipality, inquiries can be directed to the relevant unit.

Kulturtanken by director is responsible for processing personal data in common functionality in the DKS portal. This concerns personal information that is used for identification, authentication and authorization when logging into the portal, and information that is made available to The Cultural School Bag at national level. Kulturtanken is also responsible for the storage of log data of user activities.

If you have questions related to privacy at Kulturtanken, you can contact the DKS portal’s support team or the privacy representative at Kulturtanken. If the question concerns the exercise of your rights, you are entitled to an answer without undue delay and normally within 30 days at the latest.

Purpose

The purpose of the processing of personal data in the DKS portal is to facilitate good and efficient processing of all processes in connection with The Cultural School Bag, both at national and municipal level. Uniform registration, increased accessibility to relevant information and streamlined digitized interaction contribute to increased quality, lower administrative costs and a more uniform offer through the DKS scheme to pupils in Norwegian schools. Personal information will also be used to some extent to create reports and statistics and thereby increase knowledge about the DKS scheme.

Processing basis

Digital communication is the main rule when the administration communicates with others. In the DKS portal, coordinated digital interaction is established between the businesses that organize the DKS scheme and all actors who offer artistic content to the scheme. The DKS portal is also a publication channel for presenting the productions that are made available to students in Norwegian schools, and publication means that presentations are made publicly available. As a provider of artistic content, you will have an influence on which parts of the registered information are to be made publicly available.

Personal information in the DKS portal

Login

To use the DKS portal in the logged-in solution, you must log in via IDporten or Feide. The ID port is a common login solution for public services on the internet. Feide is a similar solution for the education sector.

In the IDporten, you can choose between five options for electronic ID: MinID, BankID, BankID on mobile, Buypass or Commfides. An electronic ID is important to verify that you are who you say you are. The ID portal is operated by the Directorate for Administration and ICT (Difi).

Feide stands for Common Electronic ID Entity, and is the Ministry of Education’s chosen solution for secure identification in the education sector. Feide is provided by Uninett, which collaborates with the Norwegian Directorate of Education and Unit on management of the service.

Contact information

Contact information located under your Profile in the DKS portal is registered and/or verified by the user themselves when logging in for the first time. As a user, you yourself ensure that the information is up-to-date and correct, and the system will ask you to verify that contact information is correct at regular intervals.

Access management

Access management in the DKS portal is based on roles registered in the system. What you have access to is determined by your role. Examples of such roles can be:

• Planner in the cultural school bag
• Proposer and contact person for performers
• Representative for a cultural institution
• Cultural contact at a school

Overall administration of the system is handled by Kulturtanken.

In order for the offer in the DKS scheme to be of high quality and to benefit all students, proposals registered in the DKS portal will be visible to all public entities that plan activities in The cultural school bag, also beyond those for whom the proposal is initially directed to. Dialogue that takes place in the system between the proposer/practitioner and the planning unit is not shared between the units, but can be archived by the relevant unit if the dialogue is part of a decision basis.

Your rights

Access to your own information
According to the Personal Data Act, you are entitled to access to the processing of the information about you for which the units in the DKS scheme are responsible for processing. You can request a copy of all information about you that is processed in the system.

Correction of personal information
The information contained in the DKS portal is mainly based on the user’s own registered information. To the extent that others register information about you, you as a user will have access to this information and have the opportunity to edit it when you are logged into the system.

Deletion of personal data

Disclosure to others
Personal information will be disclosed to public authorities when this follows from a statutory obligation to provide information or and after consent from the person to whom the information applies.

When you contact us
When you contact the DKS portal’s user service (email: support@denkulturelleskolesekken.no or tel. 47 97 47 44), our support platform Freshdesk is used. We store information that is necessary to be able to process and respond to your inquiry.

Security
The DKS portal uses various mechanisms to maintain a sufficient level of security to protect the solution and data in the solution. The various security measures will vary over time based on the level of threat, and are at all times subject to change management and requirements for a security management system. Security measures are assessed against requirements from relevant legislation, such as the Personal Data Act and security legislation, before phasing in.

The DKS portal’s use of data processors
Kulturtanken uses private IT suppliers for the operation and management of DKSportalen. These process personal data in accordance with our agreements with the suppliers. Data processor agreements form part of the agreements we have with these suppliers. The operation of the DKS portal is managed by Kulturtanken and Netpower AS. Application operation and management is done by Kulturtanken and Netpower AS, also in Norway. Data storage is located in the EEA area.

App DKS utøver

Performers who use the app will always have a user in the DKS portal and the same privacy policys applies for the app as for the DKS portal. The app is used to easily get an overview of your proposals, tours and for communication with the planner.
